Appointment Scheduling and Cancellations
Scheduling
Appointments may be scheduled online, by phone, or in person with a member of our team. If
you’re unsure which treatment to book, our team is always happy to guide you and help plan
your visit so you feel confident and prepared for your appointment.
While we do our best to accommodate walk-ins when availability allows, we recommend
scheduling in advance to reserve dedicated time for your visit and ensure the best possible
experience.
Cancellations / Rescheduling
At Look Lab Med Spa, appointment times are reserved specifically for each patient. In order to
respect the time of our providers and ensure appointment availability for all patients, we kindly
ask that the following cancellation policy be observed.
- Any appointment cancellations or adjustments be made at least 24 hours prior to your
scheduled appointment time.
Appointments canceled less than 24 hours before the scheduled appointment time, or
appointments that are missed without notice (no-shows), will result in a $75 cancellation
fee. - If a deposit has been applied toward an appointment, the deposit will become
non-refundable in the event of a late cancellation or no-show. If the deposit amount is
less than $75, the remaining balance will be charged to the card on file to equal the $75
cancellation fee. - Patients with a history of two or more late cancellations or no-shows may be required to
prepay the full service amount in order to schedule future appointments. This policy may
be implemented at management’s discretion.
As a courtesy, our team sends appointment confirmations via email, text message, and/or
phone call prior to scheduled appointments. Patients may confirm their appointment directly
through the confirmation text or email received.
Card on File
To ensure a seamless scheduling and checkout experience, all patients are required to maintain
a valid credit or debit card on file.
Cards on file are securely stored through our encrypted payment system and may be used to:
- Secure appointment reservations
- Enforce cancellation or no-show fees if applicable
Patients may update their card on file at any time by contacting our team, updating their
information in the clinic, or through their patient portal.
Arrival and Late Policy
Arrival
To ensure a relaxed and timely experience, we recommend arriving 10–15 minutes prior to your
scheduled appointment. This allows adequate time to complete any necessary paperwork and
prepare for your treatment.
Late Arrivals
Patients arriving late may have their appointment shortened or treatment adjusted in order to
accommodate our patients. In certain cases, if there is not enough time remaining to safely
perform treatment, you may be asked to reschedule your appointment to another date based on
provider availability.
Membership Policy
Look Lab Med Spa offers an exclusive membership program, The Look Lab Society, designed
for patients who want to maintain their results while enjoying preferred member pricing,
exclusive perks, and priority access to select treatments and promotions.
At the time of enrollment, patients will review and sign a Look Lab Med Spa Membership
Agreement outlining the details of their selected membership.
Memberships require a minimum commitment of one billing cycle. After the initial billing cycle
has been completed, memberships may be modified or canceled in accordance with the terms
outlined in the membership agreement.
Payment and Refund Policy
Payment Methods
We accept major credit cards, debit cards, cash, and Cherry Financing. Payment is due at the
time services are rendered.
Refunds
Due to the nature of aesthetic treatments and medical-grade skincare products, all services and
products purchased at Look Lab Med Spa are non-refundable.
If a patient experiences an adverse reaction or concern with a product purchased from Look Lab
Med Spa, our team will review the situation. In certain cases, we may offer an exchange or
provide account credit toward a future service or product.
Health and Safety
Medical History
Patients are required to provide accurate and complete medical history and notify our team of
any changes to their health status prior to treatment.
Children and Pets
Children
For the comfort and safety of all our patients, we kindly ask that you don’t bring children to your
appointment unless another adult is present to supervise them in the lobby. Our treatments
require your full attention and a peaceful environment, and we want to make sure you get the
most out of your experience with us!
Pets
Pets are not permitted inside the clinic, with the exception of certified service animals.
Patient Satisfaction
Patient Experience
Your experience at Look Lab Med Spa is extremely important to us. We are committed to your
satisfaction and back all of our treatments with our guarantee. We are always able to schedule
you a follow-up appointment approximately two weeks, where you will be able to discuss your
experience and results with your provider, provide any necessary touch ups, and update your
treatment plan as needed for your goals!
If you have any questions or concerns regarding your treatment, we encourage you to notify our
team so we can review and address your experience whenever possible.
Communication
Contact Information
We may contact you via phone, email, or text message for appointment confirmations,
reminders, treatment follow-ups, and promotional updates. Please ensure your contact
information is kept up to date so we can continue to communicate with you effectively.
Patients may opt in or out of their preferred communication methods at any time.
